JobCore LLC (“Company”, “we”, “our”, or “us”) respects your privacy and is committed to protecting it through our compliance with this policy. This policy describes how we collect, process, retain, and disclose personal data about you when providing services to you through our websites, applications and products that link to this policy (our “Services”) and our practices for using, maintaining, protecting, and disclosing that information.

The Services are designed to help teams manage job sites and work orders, coordinate crews, support safety and compliance workflows, and document field work.

This policy applies only to information we collect through the Services and in communications, including email, text, chat, and other electronic messages, between you and the Services. It does not apply to information collected by us offline or through any other means, or by any third party.

Please read this policy carefully to understand our policies and practices regarding your information and how we treat it. By interacting with our Services or providing us with your information, you agree to the collection, use, and sharing of your information as described in this privacy policy.

Children’s and Minors’ Data

Our Services are not intended for, and we do not knowingly collect any personal data from, children under the age of 18. If we learn we have collected or received personal data from a child under 18 years old without verification of parental consent, we will delete that information.

The Personal Data That We Collect or Process

“Personal data” is information that identifies, relates to, or describes, directly or indirectly, you as an individual, such as your name, email address, telephone number, employer code, position/title, assigned role, or any other identifier we may use to contact you online or offline.

The types and categories of personal data we collect or process include:

Account and contact information, including name, address, email address, phone number, username, employer code and other contact information you provide us.
Payment information (processed through Stripe). Company does not store or process credit card or payment information.
Account history, including information about your subscription, account, transactions, purchases, order history, or discounts.
Job and work data, including job site locations and addresses, job codes, work orders and job status information, crew names, crew codes and assignments, safety checklists and checklist responses, One Call ticket numbers and locate information, GPS coordinates for job sites and routing, user notes and comments, calendar and scheduling data, customer keywords and filters, notification and alert settings, and workload dashboard / web portal settings.
Device location for mapping job site and location data for route optimization.
Device information, including your IP address, device identifiers, operating system and version, preferred language, hardware identifiers, browser type and settings, and other device information.
Content and information you elect to provide as part of your profile.
Statistics or aggregated information derived from personal data that does not directly identify a specific person.
Technical information including information about your internet connection and usage details about your interactions with the Services.

How We Collect Your Personal and Other Data

We collect information about you when you interact with our Services, such as when you create or update an account, place an order or subscribe.

When you interact with the Services, there are third parties that may use automatic collection technologies to collect information about you or your device. These third parties include:

Firebase — Authentication, database and file storage (firebase.google.com)
Stripe — Payment processing (stripe.com)
Google Maps — Location services and mapping (google.com/maps)
Google Cloud Vertex AI (Google Gemini) — Optional artificial intelligence processing for checklist AI Features (when enabled and with your consent). See the section entitled “Third-Party Artificial Intelligence (“AI”) Services” below.

How We Use Your Information

We use information that we collect about you or that you provide to us, including any personal data, to:

Provide you with the Services and any contents, features, information, products, or services available through the Services.
Enable job management, assignment and status tracking.
Facilitate crew coordination, crew assignments and schedules.
Apply role-based access controls and permission checks.
Display job locations on maps and provide route planning / routing optimization features.
Provide One Call / 811 ticket tracking and status viewing features.
Store and display photos and other job documentation.
Provide safety checklists, customer forms, and digital signatures.
Process checklist responses through optional AI Features to generate summaries, guidance, or other outputs displayed within the Services (when enabled and with your consent).
Enable calendar and scheduling features.
Generate PDFs for job records and reports.
Provide notifications and in-app alerts.
Provide workload dashboard / web portal access and sharing controls.
Send account verification emails, password resets, and important service updates.
Provide customer support and respond to your questions and inquiries.
Improve our Services, including by analyzing your information and creating aggregated data.
Carry out our obligations and enforce our rights arising from any contracts entered into between you and us.
Notify you when Services updates are available and about changes to products or services.

Who We Disclose Your Information To

We may disclose aggregated information about our users, and information that does not identify any individual, without restriction.

We may also disclose personal data that we collect or you provide as described in this privacy policy:

To our subsidiaries and affiliates.
To contractors, service providers, and other third parties we use to support our organization.
To a buyer or other successor in the event of a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of our assets.
To fulfill the purpose for which you provide it.
With your consent.
To comply with any court order, law, or legal process, including to respond to any government or regulatory request.
To enforce or apply our terms of use and other agreements, including for billing and collection purposes.
If we believe disclosure is necessary or appropriate to protect the rights, property, or safety of our organization, our customers, or others.

Third-Party Artificial Intelligence (“AI”) Services

Certain features of the Services, including AI Template Buttons made available in connection with safety checklists and custom checklist workflows (when enabled), use third-party artificial intelligence services to process information you submit in order to generate summaries, guidance, or other outputs displayed to you within the Services (collectively, “AI Features”). AI Features are optional. We do not transmit personal data to third-party AI providers unless and until you provide explicit consent through the in-app consent process described in this section.

When you elect to use an AI Feature, we may transmit personal data and other information to Google LLC and its affiliates for processing through Google Gemini models hosted on Google Cloud Vertex AI (collectively, the “Third-Party AI Provider”). The Third-Party AI Provider is a separate third party, and its processing of information is subject to Google’s applicable terms, policies, and documentation, as updated from time to time.

Depending on the checklist configuration and the AI Feature you invoke, the categories of information we may transmit to the Third-Party AI Provider include:

Checklist question titles and your responses, including text entries, selections, dates, and numeric inputs;
Voice-to-text transcripts captured through checklist fields (when applicable);
Job, checklist, or work-order context necessary to perform the requested AI action;
Reference documents linked to the AI Feature by your organization, such as standard operating procedures, handbooks, or policy materials stored in the document library (when applicable); and
Instructions configured by your organization’s checklist administrator describing the requested AI action.

We transmit this information to the Third-Party AI Provider solely to generate the output displayed to you in connection with the AI Feature you requested. We do not sell personal data to Third-Party AI Providers, and we do not authorize Third-Party AI Providers to use information transmitted through the Services for unrelated advertising or marketing purposes on our behalf.

Before any personal data is transmitted to the Third-Party AI Provider for the first time, the Services will present you with a disclosure that identifies the Third-Party AI Provider, describes the categories of information that may be shared, and explains how the information will be used. You must provide affirmative, explicit consent before any such transmission occurs. If you decline consent, you may continue to use other features of the Services that do not require Third-Party AI processing.

You may review or change your AI data-sharing preference at any time by accessing Settings → Legal & Privacy → AI Data Sharing within the Services. If you disable AI data sharing, AI Features that require transmission to the Third-Party AI Provider will not be available until you re-enable sharing and, if required, provide consent again. Disabling AI data sharing does not affect your ability to use other features of the Services that do not depend on Third-Party AI processing.

We may retain records of your consent choices, including the date and version of the consent presented, for compliance, audit, and security purposes in accordance with this policy and our data retention practices described in the section entitled “How We Retain Your Personal Data.”

Outputs generated by AI Features are provided for informational purposes only. You are responsible for reviewing AI-generated content and verifying its accuracy, completeness, and suitability before relying on it for field, safety, compliance, or business decisions.

What We Don’t Do

We do not:

Sell your personal information to third parties.
Share your data with advertisers.
Use your information for unrelated marketing purposes.
Track you across other apps or websites.

Your State Privacy Rights

Depending on your state of residency, you may have certain rights related to your personal data, including:

Access and Data Portability — You may confirm whether we process your personal data and access a copy of the personal data we process.
Correction — You may request that we correct inaccuracies in your personal data that we maintain.
Deletion — You may request that we delete personal data about you that we maintain, subject to certain exceptions under applicable law.
Opt Out of Using Personal Data for Targeted Advertising, Profiling, and Sales — You may request that we do not use your personal data for these purposes.

How We Protect Your Personal Data

We use commercially reasonable administrative, physical, and technical measures designed to protect your personal data from accidental loss or destruction and from unauthorized access, use, alteration, and disclosure. Protection measures include encryption, password protection, Firebase security rules, access controls, regular updates and monitoring for suspicious activity and potential security threats. However, no website, mobile application, system, electronic storage, or online service is completely secure, and we cannot guarantee the security of your personal data.

How We Retain Your Personal Data

We keep the categories of personal data described in this policy for as long as reasonably necessary to fulfill the purposes described or as otherwise legally permitted or required. At the end of the retention period, personal data will be deleted, destroyed, or deidentified.

Changes to Our Privacy Policy

We may update this policy from time to time, and we will provide notice of any such changes as required by law. The date the privacy policy was last updated is identified at the top of the page.

California Privacy Rights

If you are a California resident, you have the following rights under the California Consumer Privacy Act:

Right to Know — You have the right to request information about the personal data we have collected about you and how it is used and shared.
Right to Delete — You have the right to request deletion of your personal information, subject to certain exceptions.
Right to Opt-Out of Sale — We do not sell personal information, so there is no need to opt-out.
Right to Non-Discrimination — We will not discriminate against you for exercising your privacy rights.
